Motivational Systems, Inc. (MSI), an established sign design and manufacturing company, is currently looking for a dynamic full-time Executive Sales Assistant for its National City location. The Executive Sales Assistant will provide high-level administrative sales assistance to include communication with clients and internal staff via email, phone and in-person meetings; data entry, presentations, project management and other administrative tasks to the Vice President Southern California Regional Manager. The ideal candidate must be enthusiastic, organized, have strong communication and marketing skills with the ability to evaluate and provide solutions for our customers’ needs. This position has growth potential for the right candidate into a full-time sales role.

As the Executive Sales Assistant, Your duties will include but are not limited to:

  • Act as the point of contact among executives, employees, clients and other external partners
  • Writes proposals
  • Writes contracts
  • Writes job orders
  • Writes credit requests
  • Checks status of all job orders
  • Checks aging report for past due payments
  • Attends production meetings. Takes notes of changes that will need to be revised for orders or contracts
  • Maintains and updates project checklists
  • Interacts with clients in meetings and on the phone
  • Occasionally delivers items to clients
  • Perform field measurements
  • Follow-up with clients via e-mail or phone for pending required production or service items
  • Provide installation information
  • Filing and file organization
  • Reads and routes incoming mail
  • Prepares reports
  • Organizes and maintains file system and files correspondence and other records
  • Answers and screens manager's telephone calls and arranges conference calls
  • Position based in San Diego but will include occasional day travel to Riverside, CA and other southern California cities

Education and/or Experience

Bachelor’s Degree from a four-year university; or four years of administrative experience with an emphasis in customer service; or a combination of both education and experience. Experience in a signage, design or manufacturing industry desired.
